The Committee and Committee Meetings Minimize

The committee meets on the first Tuesday of every month at 20:00 in the club house and any society member is more than welcome to come along and observe the committee in action. The committee makes all of the major decisions on behalf of the general membership from what equipment to purchase to when to hold open nights and the management of the facilities. Most of the holders of the positions below give a short report about what has happened within their area in the preceding month and to raise matters for discussion covering future topics. A typical agenda for a normal committee meeting is given below.

  • Matters arising from the previous meeting
  • Reports,

    • Secretary
    • Treasurer
    • Newsletter Editor
    • Any specially tabled items
  • Any other business

Depending on the amount of business that is to be discussed a typical committee meeting lasts for approximately one and a half hours.

Another type of meeting that happens once a year is the Annual General Meeting (AGM). At this meeting the outgoing committee members will give a report about what has happened in the last year, the new committee will be voted in and then any special topics will be discussed with the whole membership. It is at this meeting that the subscription levels for the following year will be discussed and voted upon and there is normally a discussing about the future of the society, both short term and longer term. The AGM is normally held on a Friday night in May, the actual date is always announced well before the event.

There is one other type of meeting that can occur. This is called an Extraordinary General Meeting (EGM) which is called if the committee need to discuss a special topic with the whole membership. These are quite a rare event and normally occur on a Friday evening before or after a lecture. Notice of such a meeting will be given using a number of methods such as a notice displayed in the in the club house, in the newsletter, via e-mail or on this website.

President

Role:   The president is the figurehead of the society but the job is far from easy. The president presides over all committee meetings, annual general meetings (AGM) and extra-ordinary general meetings (EGM) and is the main spokesperson for the society whenever a comment is required.

Secretary

Role:   The secretary is in charge of taking minutes at the committee meetings, AGMs and EGMs and making them available to the members of the society. They also write any letters that need to be sent on the behalf of the society.

Treasurer

Role:   The treasurer is in charge of all financial matters for the society. This includes the day-to-day running of the society's bank accounts, ensuring that bills get paid on time, recommending subscription levels and authorising members to spend money on behalf of the society and reimbursing them when they do. The treasurer does not have sole control of the society's finances though, up to three signatures are required by the banks when making financial transactions for security (e.g. to stop the treasurer emptying the bank accounts and running off to warmer and sunnier climates).

Publicity and Newsletter Editor

Role:   This role covers publicising the society and all aspects of the society's newsletter, from getting members to submit articles for it, through the construction of the newsletter to distributing it to members.

Webmaster

Role:   The webmaster is in charge of all aspects of the Internet side of the society, i.e. the website including hosting and domain name renewal and including email configuration. The webmaster is also in charge of ensuring the website is backed up regularly and kept running smoothly.
